    Summary

     

    The Executive Assistant provides high-level administrative support to company executives by arranging conference calls, scheduling meetings, creating memos, researching for information and countless other tasks.

     

    In this role you will

     

    -Answer phone calls and direct calls to appropriate parties or take messages

    -Open, sort and distribute incoming correspondence, including email

    -Record, type and distribute meeting minutes

    -Plan events within company

    -Support social media initiatives and maintain internal and external sales marketing materials

    -Perform general office duties such as ordering supplies

    -File and retrieve corporate documents, records and reports

    -Make travel arrangements for executives

    -Process expense reports

    Responsibilities

     

    Day to day event management tasks is the most fundamental part of your responsibilities and we expect you to have an understanding of those already. Most important part is that you need to be able to develop and manage relationships with prospective participants, partners and sponsors of HR focused events. It sometimes means managing pretty long sales-cycles and presenting the value of the events in different ways to different stakeholders. As we are organising events in countries and cities that are completely new to us as well there is always need for a research to identify opportunities meaning prospective participants, partners and sponsors. So bare in mind you need to like that part too.

     

    While on-boarding new participants, partners and sponsors your job is to ensure that each of them has a strong understanding about the upcoming event and benefits that they can get. We always want our event participants to come back so your number one KPI is to deliver an incredible experience to them. Most of work is done remotely by interacting via email, social media and phone and finally at the event face to face.

    Requirements

    You need to be able to project energy together with confidence and establish credibility via phone and email. That means we are expecting an exceptional interaction and verbal/written communication skills from you. It also helps to be very organised and methodical with great follow-through to ensure expectations and deadlines are met. Attention to detail and ability to oversee multiple relationships simultaneously is a key skill and you should also love changes and have ability to adapt to a constantly changing environment (we really mean this!). You also need to be capable of ideation as well as execution and as it is 2016 we expect you to be well aware of mobile and social media trends.
